Finance Manager – Sole Role – Media Paprika Software users
Up to £35K plus study and Bonus – for 4 days a week ( Flexible)
This is a great opportunity for an ambitious and talented Management Accountant – The company is a small SME of about 16-20 staff. Will be located in Farringdon or South London post Covid. The company was previously part of a bigger operation but is about to become independent. There will be a good hand over from the incumbent team. The Company specialises on the Media & Affiliate Marketing. It is a dynamic and busy environment.with T/O of Circa. £5M. Great opportunity to grow within the company as long as you are a self starter and commercially minded.
The ideal candidate will ideally be able to commit the equivalent of about 4 days a week. It is a full hands on role working with both the transactional side of things and the management accounts prep and analysis, business partnering with the owner and the MD to ensure things run efficiently and smoothly.
Main Responsibilities: of The PT Finance Manager:
Management accounting
- Performing the monthly job costing in Paprika ensuring all outstanding purchase orders are accrued for in the correct period
- Prepaying certain overhead expenses in line with the company’s policy ensuring these are released to P&L in the correct period
- Carrying out overhead variance analysis (actuals v forecast) and accruing for missing overhead expenses
- Managing accrued and deferred income ensuring prepaid sales invoices are released to P&L in the correct month
- Fixed asset management; adding new additions to the fixed asset register and posting the monthly depreciation
- Producing and posting monthly payroll journal
- Performing all balance sheet reconciliations ensuring a reconciliation statement is kept for each account
- Producing the monthly management accounts with YTD and annual forecast plotted against estimate
- Reporting monthly finance pack to the MD
- Overhead/ profitability reporting on project types/ revenue types
- Working with senior management to improve overall commercialisation of the business
Bank reconciliation & cashflow
- Posting the bank daily into the cash book in Paprika & reconcilingto bank statements
- Updating the cash flow forecast fortnightly with incoming and outgoing payments
- Forecasting current month’s billings and payment runs
Payroll
- Inputting monthly salaries and commissions into the payroll system (external provider)
- Getting pre-commit approved by the MD
- Producing and posting the monthly payroll journal
- Inputting pension contributions into pension provider’s portal
Purchase and sales ledger management
Purchase ledger
- Managing the supplier inbox and responding to all queries (this is a separate mailbox in Outlook that is only used for finance related queries and supplier invoices)
- Uploading all supplier invoices into Paprika once a week. All invoices must be received in pdf format and there are no paper invoices (sales or purchases).All are matched against PO’s raised by account management.
- Preparing fortnightly supplier payment runs, getting sign off from MD
- Raising manual payments (the company is in the process of setting up BACS)
- Raising and posting the monthly company credit card claim
- Checking and posting cash expense claims
- Reconciliations of suppliers as necessary
Sales Ledger
- Finalisation of approved sales invoices
- Sending sales invoices on to client contacts
- Credit control: Regularly reviewing aged debtors and ensuring these are paid on time
- Credit checks on new clients
Annual accounts review preparation
- Collating the information needed for the preparation of the financial year end accounts and corporation tax return (Prepared by external chartered accountants)
Statutory filing and reporting
- Preparing and filing quarterly VAT returns
- PSA filing and reporting
- P11D reporting
Director’s loan account
- Recording and making dividend payments to the owner of the business
Paprika
- Becoming the go-to person for all Paprika related queries
- Keeping up to date with upcoming software developments
- Creating and maintaining dashboards
- Continuously evaluating current processes and suggesting changes/improvements to the MD if appropriate
- Training non finance team members on best practise of the system
MUST HAVES:
- Being able to work autonomously
- Being organised and keeping to deadlines
- Being pro-active and outgoing
- Having an analytical mindset and being able to assess processes and being able to express how they could be improved
- Studying towards ACCA/CIMA and having completed the basic papers including financial accounting, basic tax and financial reporting
- Previous management accounting experience
- Good working Knowledge of paprika
