HR Assistant – Creative Company

Full Time £25,000 to £28,000 per annum Near Finsbury

JOB DESCRIPTION

Our Client is looking for an HR Assistant to take shared responsibility of the administration function of the HR department and act as a contact for day-to-day employee questions and tasks. Working closely with the HR Manager, as well as all HR team members, along with key practice stakeholders.

HR Assistant Key Responsibilities:

  • Work with HR and all employees in maintaining accurate information on the HRIS “Cascade” system; utilising its database to produce MI reports and people insights/analysis as required
  • Implement the administration of employee-related documents, e.g. contracts, etc.
  • First point of contact for employees
  • Conduct regular audit of document templates, including policies/ procedures/ employee manuals/ guidance notes
  • Apply HR and business knowledge evidencing appropriate decision makings kills
  • Have an overview of all HR functions and assist all team members
  • Providing cover for the Recruitment Coordinator
  • Providing cover for the HR Advisor
  • Work closely with Partnerships Group and the EOWG
  • Assist HR Manager in all tasks, as necessary

HR Assistant Required Experience and Qualifications:

  • Educated to A level standard or equivalent
  • A minimum of one year in a similar role
  • Operational HR and administration experience essential
  • HRIS management experience
  • Knowledge of SQL

HR Assistant Specific Duties:

HRIS “Cascade” Administration

    • Work with the HR team in maintaining accurate information on the HRIS “Cascade” database
    • Provide support for Technical Administration, including work flows
    • Create new employee profiles
    • Conduct regular audit of templates
    • Ensuring annual tasks are completed
    • Recruitment
    Staff Inductions
    • Liaising with relevant departments
    • Creating’ New Joiner’ packs
    • Conducting HR Induction and HRIS “Cascade” training
    • Create and process documentation
    • Ensuring all induction trainings are carried out
    Staff Reviews
    • Ensuring all 3-month and 6-month reviews are completed at the appropriate time and processing all paperwork, along with updating “Cascade”.
    • Contacting employees/ line managers at 1-month and 6-weeks
    • Carrying out necessary checks for annual appraisals
    Recruitment
    • Acting as cover for the Recruitment Coordinator for the recruitment life cycle
    • Producing new joiner documentation and liaising as first point of contact with candidates post offer, as well as coordinating internal departments for inductions
    Training
    • Working with the HR Advisor to deliver the HR soft skills training
    • Keeping the training schedule maintained within “Cascade” and Excel
    • Liaising with the training providers with regards to training dates, attendees, and synopsis
    • Sending training invites to employees and managing attendance
    • Collate and analyse feedback
    • Working with the HR Advisor and Head of HR to deliver other training when required
    • Ensuring staff are verified within the construction industry and organising test dates(CSCS)
    • Completing applications for non-UK Architects in order to be verified within the construction industry (ECCTIS)
    • Make payments, raise POs and invoices for Finance
