HR Manager – London Design Agency

HR Manager Reporting to: Studio head – 6 Month Contract (to possibly become perm role)

Salary c£40-45k pro rata

 

We are seeking an experienced HR Manager to support the London Agency in day to day managing of the HR department.

The ideal candidate will have a sound understanding of the deliverables of a HR function, able to work independently in a busy Agency environment, have great attention to detail and understand that the quality and accuracy of work underpins good reporting across the company.

As an experienced HR Manager, you will be able to work independently, technologically savvy and willing to embrace new systems and processes.

Key responsibilities:

Contracts & onboarding

  • Preparing Offers / Contracts
  • Onboarding – correspondence with candidate, passports, driving licences, welcome packs, line manager guidance, induction process
  • Maternity / paternity / parental leave process
  • Flexible working requests / contract amendments / eligbility to work requirements
  • Visa application process
  • Updating Employee Guide for all new starters

 Systems administration

  • Monthly salary adjustments schedule for Finance
  • Monthly Paprika vs PeopleHR (HR system) audit for holidays checks/reconciliations
  • Administration of PHR – global people database
  • Annual set up of holiday allowance and public holidays; carry forwards/payments

 Personal development reviews

  • Communication of process inc. advice on deadlines, answering ad hoc queries
  • Training programme

 Interns

  • Intern management – 40+ interns in 2017
  • Administration for work experience students

 

Benefit administration

  • UK pension / private medical / life assurance
  • Benefit queries, administration and audit – childcare vouchers, cycle to work, travel loans

Legislative updates

  • Writing new policies / updating policies / training eg. modern slavery
  • Compliance with GDPR in line with Privacy Policy eg. retention of candidate and employee records

 Managing employee relations and line manager guidance

  • Line Manager guidance eg. enforcement of employee policies, absence, performance, grievance
  • Employee relations ie everyday employee queries and meetings, PHR queries
  • Exit interviews
  • Managing Apprenticeship eg. accessing levy payments, choosing appropriate course of study, engagement with tutor

 Leaver processes

  • Leaver process eg. production of letters, administering benefits and arranging to be paid out appropriately
  • Updating PHR and all systems
  • Redundancy processes if relevant

Recruitment

  • Writing job briefs for agencies / Posting jobs on website
  • Recruitment agency briefing and liaison
  • Sourcing candidates directly (LinkedIn etc)
  • Managing external job sites eg Indeed
  • Organising interviews and formal presentations

 Salary review process

  • Salary review / promotion exercise eg. collation of employee data, producing letters
  • Updating systems, salary adjustments
  • Salary benchmark exercise
  • Bonus administration
